Buyer matching CRM
Each new listing is matched to the right buyers the day it comes in, with a score that explains itself and a daily follow-up list.

Context
A real estate agency where negotiators match new listings to a base of buyers.
The problem
Each new listing was matched to buyers from memory. The agency needed every listing matched to the right buyers the day it came in, and a daily list of who to call.
The constraint
Properties, mandates and buyers live in the agency's transaction software, which stays the source. The CRM has to work from its data.
What we built
- A negotiator dashboard: indicators for the month, actions for the day, matches to handle, network to follow up, pipeline and weekly viewings
- A buyer sheet: search criteria, matching properties with a score explained criterion by criterion, 'narrowly missed' properties and the file history
- A mobile network view: former clients and referrers to follow up, with a call, a pre-filled WhatsApp message and a one-tap 'contacted'
How it works
The transaction software is synchronised automatically through Google Sheets. Each new listing is scored against every buyer's criteria, and the score is explained criterion by criterion, including properties that narrowly missed. Each negotiator gets a daily action list with call and pre-filled WhatsApp links, designed for the phone.
What changed
Each listing is matched to the right buyers the day it comes in, and each negotiator starts the day with a list of whom to call.

Real estate agency cockpit
Cash, signed deals and commissions in one place, replacing spreadsheets reconciled by hand each month.
Constraint. Two banks, several currencies and a five-way commission split, reconciled by hand each month.

Quotes that sign themselves
Each quote becomes an online proposal the client can sign. The team sees who really read it, and the CRM updates on its own.
Constraint. Quotes were sent as attachments, so nobody knew whether they had been read.

Agency profitability cockpit
Margin by client, production cadence and client approvals in one tool, instead of spreadsheets and chat threads.
Constraint. Margin lived in spreadsheets and client approvals in chat threads.
