Context
A five-star resort whose budget, sales, finance and contract reports are produced separately.
The problem
Budget, sales, finance and contracts for a five-star resort sat in separate Excel reports, re-keyed every week before they reached management.
The constraint
Four sets of reports in Excel, re-keyed every week, with the PMS, the restaurant system and the spa system each holding part of the picture.
What we built
- A monthly cockpit: occupancy, ADR, RevPAR, revenue and GOP margin against budget and the same month last year, daily occupancy, distribution mix, revenue by department, three-month pick-up, top tour operators, financial snapshot and contract alerts
- A contract sheet: full register, renewal window with automatic alerts, key clauses read from the PDF, approval circuit, supplier performance and history
- A Daily Event Report on the phone, generated each morning: tonight's occupancy, movements, VIPs, events, restaurants, spa, transfers and maintenance
How it works
Reservation, revenue and channel exports come from Opera. Covers come from the restaurant booking system and the spa bookings from their own system. The annual budget stays in its Excel file. Supplier contracts are uploaded as PDFs and their key clauses are read automatically. A Daily Event Report is generated each morning for the phone.
Status
This system is in development. Results will be added here once it is in production.

Resort group revenue cockpit
The PMS has no API, so the team rebuilt its KPIs by hand every morning. Reports now load themselves before 9am.
Constraint. Opera exposes no API, so scheduled e-mail reports are the only reliable source.

City hotel group cockpit
Each morning, management knows where the month will land against budget, from one set of figures reconciled with accounting.
Constraint. Hotels reported on separate timetables and group figures were assembled afterwards.

Stop sales cockpit
Closures by room type, channel and date in one grid, with every change logged and sent to partners automatically.
Constraint. A closure must reach every channel and partner, and each change needs an audit trail.
