Context
A city hotel group. Each hotel reports on its own timetable, and group management needs one set of figures that matches accounting.
The problem
Management could not tell, during the month, where it would land against budget. Each hotel reported on its own timetable and the group figures were assembled afterwards.
The constraint
Hotel figures come from the PMS, budget and ledger figures from Dynamics 365, and the two had never been reconciled inside the month.
What we built
- The month's landing against budget and last year for every hotel, with alerts ranked by severity and pick-up over 1, 7 and 30 days
- A view per hotel: day-by-day calendar of actual and booked, segments and channels, currency exposure of future bookings, upcoming groups
- A forecast cockpit: booked plus expected pick-up over 90 days with a range, forecast by month against budget, accuracy measured by lead time
- Figures reconciled with the accounting trial balance
How it works
Opera reservation and history-and-forecast reports arrive every morning by e-mail and enter through Power Automate and a secured webhook. The monthly trial balance, budget and F&B stock movements come from Dynamics 365. The cockpit combines both, applies exchange rates managed in the application, and projects the month against budget.
What changed
Management sees during the month where each hotel will land against budget and last year, with figures reconciled to the accounting trial balance.

Resort group revenue cockpit
The PMS has no API, so the team rebuilt its KPIs by hand every morning. Reports now load themselves before 9am.
Constraint. Opera exposes no API, so scheduled e-mail reports are the only reliable source.

Stop sales cockpit
Closures by room type, channel and date in one grid, with every change logged and sent to partners automatically.
Constraint. A closure must reach every channel and partner, and each change needs an audit trail.

Group quotation engine
Group requests used to be priced by hand in Excel. They are now qualified against capacity and forecast, then quoted from the rate grid.
Constraint. Group requests were priced by hand in Excel, with no check against capacity or forecast.
